Administrative assistant
La Chapelle Scènes Contemporaines is looking to add a dynamic individual to its team who has the skills and motivation needed to make a long-term commitment to the various administrative aspects of a performing arts venue. Working closely with and under the supervision of the Administrative Director, the Administrative Assistant will also support the Co-Executive Directors and manage files related to governance.
Responsibilities
• Accounting (accounts payable, accounts receivable, bank reconciliations, etc.);
• Preparation of administrative files, support with report writing, and compilation of statistical data for public and private funders, presenting partners, and government agencies;
• Verification of sales reports (ticketing, bar, donations, merchandise), preparation of deposits, and follow-up with suppliers of goods and services;
• Monitoring and development of the Human Resources function (compliance with labour standards, workplace health and safety requirements, prevention mutual, voluntary retirement savings plan, etc.); • Coordination of initiatives aimed at obtaining environmental sustainability certifications, including research and monitoring, partnership management, supervision of the sustainability committee, follow-up on related files, and implementation of sustainable practices at La Chapelle.
Other Responsibilities:
• Corporate secretariat duties: coordination of meeting schedules, note-taking, and preparation of minutes and reports for the Board of Directors and related committees;
• Management of the general inbox: info@lachapelle.org.
Requirements
• Education and/or proven experience in administration (minimum three years);
• Experience in accounting (knowledge of Sage accounting software is an asset);
• Experience with the Microsoft 365 environment is a plus;
• Strong proficiency with Microsoft Office applications (particularly Excel);
• Accuracy, attention to detail, strong organizational skills, and the ability to manage multiple files simultaneously;
• Strong French-language writing skills and the ability to synthesize information effectively;
• Knowledge of and interest in the cultural sector (an asset).
Terms of employment
• Location: La Chapelle Scènes Contemporaines, Montreal;
• Schedule: 35 hours per week, weekdays during regular business hours, with occasional evening availability required for events;
• Duration: Permanent full-time position;
• Start date: Early September 2026;
• Annual salary: $40,000 to $48,000, depending on experience and qualifications;
• Vacation and Benefits:
- Four weeks of vacation (summer and holiday break);
- 8 public holiday ;
- Annual wellness allowance of $500;
- Access to all performances presented as part of the season program.
